Hi @dianep, welcome to the Community! If a company stops using Expensify and wants to keep the receipt URLs active, they should leave at least one admin account that has access to all the submitted expenses active in Expensify.
This does not mean the company needs to continue paying for Expensify, but rather they should keep the admin account as a free account instead. We will always retain account information until the customer deletes the account from our system.
To be considered a free account, the admin will want to make sure that all reports and company expenses are in the Approved, Reimbursed, or Closed states, and then they will remove any company policies that exist. By removing the policy the admin downgrades to a free account but retains access to all the reports and expenses they previously had access to from the company policy. This means the links stay active for receipts and the company retains historical expense data for later use.
