Company Card Admin Webinar Q&A - August 8, 2019
Can the CSV file reports be generated by card holder? And summarized by trip?
Sure, you can use an export template to accomplish this. After filtering by your specific criteria, you will export these expenses to a spreadsheet where you can further analyze the data. You can also use the Loading Dock under Settings > Domain Control > [Domain Name] > Loading Dock will be where you can go to export a spreadsheet of raw data with this same information.
Credit Card Reconciliation Dashboard
If we have an accounting software that will not integrate with Expensify, can you talk about report options that summarize statement charges?
I would highly recommend using the Reconciliation Dashboard so that you can easily check the spend across all company cards, even if the expenses were not reported yet. The Loading Dock, under Settings > Domain Control > [Domain Name] > Loading Dock will be where you can go to export a spreadsheet of raw data with this same information.
How about if a company card is being used for 2 different companies with 2 different Xero accounting systems (and therefore different GL's). How do we best manage the export of the data to each company's Xero account?
In this case, you will want to set up separate policies and connect the Xero instance to each one separately. You will then select the account for each card in Domain Control > Company Cards that the respective transactions export to.
Is there a set up fee?
Nope! Company cards come at no extra cost and are a part of the Corporate policy pricing.
Where can you notate that specific charges are billable to a client “job ticket” or job number?
You would likely want to set these up as tags. If you are using an accounting system, then you will address your specific accounting package help documentation at docs.expensify.com to assist with how to set up these jobs and map them to your expenses as tags. However, if you are not using an accounting integration, you can import a list of tags under Settings > Policies > Group > [Policy name] > Tags. Finally, you will see an option on the expenses to check each expense and whether they are billable. This article should help!
