How-to: Set up invoicing on your policy

Create and send invoices to your customers, receive payments, and track the status of your invoices with Expensify, regardless of whether your customer has an Expensify account. Invoicing is included with your current Expensify subscription, no matter what plan you’re on — just pay the processing fee per transaction.

Set up Invoicing on a Group Policy

  1. Log into your Expensify account using your preferred web browser (i.e., Chrome or Safari)
  2. Head to Settings > Policies > Group [Policy Name] > Invoices

Set up Invoicing on an Individual Policy

  1. Log into your Expensify account using your preferred web browser (i.e., Chrome or Safari)
  2. Head to Settings PoliciesIndividual [Policy Name]Invoices

Add your Logo to your Invoices

Sign-in to your Expensify account on the web app at www.expensify.com, go to Settings > Account > Account Details. Click Edit Photo under Your Details.


Personalize Invoices with your Company Details

Depending on the currency you set on your policy, you'll see a set of default report-level fields on your invoices.


Here's a breakdown of these default report-level fields based on the following currencies:

  1. Policies with GBP set as the default currency: VAT Number & Supplier Address (your company address)
  2. Policies with EUR set as the default currency: VAT Number & Supplier Address (your company address)
  3. Policies with AUD set as the default currency: ABN Number & Supplier Address (your company address)
  4. Policies with NZD set as the default currency: GST Number & Supplier Address (your company address)
  5. Policies with CAD set as the default currency: Business Number & Supplier Address (your company address)

In addition to these default report-level invoice fields, you have the option to create custom invoice fields (such as PO Number, Business Address, Business website) on the Report and Invoice Fields section of the Reports page.
