How-to: Setup an indirect flat-file export for any version of Microsoft Dynamics

Do you use Microsoft Dynamics, if so we've got you covered! 

Along with the direct integrations Expensify supports, there's also an option to integrate with other accounting solutions via a flat-file import. This guide will show you what you need to do to get your flat-file export started.

What export format should I use?

There are various formats you can use for your spreadsheet upload into Dynamics. The format that you use depends on what module in Dynamics you are uploading to (Payables, Journal Entry, etc) and what information you want to capture. You can create a template specifically for what you need to track, and can create as many templates as you need. Even after you initially build your templates, you can always go back and make edits. 

Complete your export format

  1. Identify the fields that your Microsoft Dynamics export requires and find where these fields can be found in Expensify. The full guide to building this is on our Export Custom Reports page.
  2. Your policy admin will need to begin to build the template specific to a policy or specific to your account. For a template in a policy, go to Settings > Policies > [Group Policy Name] > Export Formats. You can also build one for your own account by going to Settings > Account > Preferences > CSV Export Formats.
  3. When you create a new export format, or edit an existing one, you will see the following screen which allows you to dictate the specific content (and order) of each column in the export file. You will enter your custom formulas here. 

You can also have a basic Dynamics template added on a Control policy from the Settings > Policies > [Group Policy Name] > Connections > Accounting Integrations section.

Export from Expensify

To export a report as a PDF or CSV out of Expensify, go to the Reports page, choose the report(s) you want to export, click Export To and choose your export format.  

Alternatively, reach out to concierge@expensify.com to learn how you can access our API to have this information sent to your system automatically on a scheduled basis.

Upload into Dynamics

Once the file has been downloaded onto your system, you will be able to upload it directly into Dynamics. You will not need to manipulate the file in any way before uploading. We are happy to work with you or your Dynamics integrator to automate the upload of this file into your system.
