How-to: 3-way connection with Bill.com and QuickBooks Online, Sage Intacct, Xero, NetSuite

If you use both Bill.com and a direct accounting integration (QuickBooks Online, Xero, NetSuite, or Sage Intacct), you can create a three way integration.

Note: To avoid duplications in Bill.com, you must connect your Expensify policy to your accounting system first. Once the connection is established, then connect your policy to Bill.com. Connecting the policy in this order will ensure no duplicate transactions in Bill.com.

If you are using auto-sync with your accounting integration, your reports will automatically export to your accounting software and from there to bill.com as there is a daily sync. The receipt images will also sync over daily.

Connecting Bill.com and Intacct

If you use both Bill.com and Intacct, you can now send all vendor bills first to Intacct and then to Bill.com automatically.

  1. Connect your policy to Intacct for Vendor Bills.
  2. Connect your Bill.com account to Intacct. Intacct Sync Setup
  3. Connect policy to Bill.com with API credentials following the instructions at the top of this article.
  4. Create report with receipts and reimbursable expenses.
  5. Approve your report and export to Intacct.
  6. Manually sync Intacct in Bill.com by clicking the sync icon at the top of the screen.
  7. You will now see your bill in Bill.com.

To get your receipts to sync over:

  1. In the policy, sync Bill.com
  2. Refresh the bill in Bill.com, you should now see the receipts.

Connecting Bill.com and QuickBooks Online

If you use both Bill.com and QuickBooks Online, you can now send all vendor bills first to QuickBooks Online and then to Bill.com automatically.

  1. Connect your policy to QuickBooks Online
  2. Connect your Bill.com account to QuickBooks Online. QuickBooks Online/Bill.com Sync
  3. Connect policy to Bill.com with API credentials following the instructions at the top of this article.
  4. Create report with receipts and reimbursable expenses.
  5. Approve your report and export to QuickBooks Online.
  6. Manually sync QuickBooks Online in Bill.com by clicking the sync icon at the top of the screen.
  7. You will now see your bill in Bill.com.

To get your receipts to sync over:

  1. In the policy, sync Bill.com
  2. Refresh the bill in Bill.com, you should now see the receipts.

Connecting Bill.com and Xero

If you use both Bill.com and Xero, you can now send all vendor bills first to Xero and then to Bill.com automatically.

  1. Connect your policy to Xero.
  2. Connect your Bill.com account to Xero. 
  3. Connect policy to Bill.com with API credentials following the instructions at the top of this article.
  4. Create report with receipts and reimbursable expenses.
  5. Approve your report and export to Xero.
  6. Manually sync Xero in Bill.com by clicking the sync icon at the top of the screen.
  7. You will now see your bill in Bill.com.

To get your receipts to sync over:

  1. In the policy, sync Bill.com
  2. Refresh the bill in Bill.com, you should now see the receipts.

Connecting Bill.com and NetSuite

If you use both Bill.com and NetSuite, you can now send all vendor bills first to NetSuite and then to Bill.com automatically.

  1. Connect your policy to NetSuite for Vendor Bills.
  2. Connect your Bill.com account to NetSuite. NetSuite Sync Setup
  3. Connect policy to Bill.com with API credentials following the instructions at the top of this article.
  4. Create report with receipts and reimbursable expenses.
  5. Approve your report and export to NetSuite.
  6. Manually sync NetSuite in Bill.com by clicking the sync icon at the top of the screen.
  7. You will now see your bill in Bill.com.

To get your receipts to sync over:

  1. In the policy, sync Bill.com
  2. Refresh the bill in Bill.com, you should now see the receipts.

Connecting Bill.com and QuickBooks Desktop

Unlike the other accounting softwares mentioned above, data in the Bill.com/QBD integration is sent from Bill.com to QBD instead of from QBD to Bill.com. Due to this we recommend linking your policy to QuickBooks Desktop and then either setting up a connection with Bill.com following the instructions here, or including it as part of your approval workflow as described here.
