Allow Batch Downloads of Receipt Images

ChrisPala Expensify Customer Posts: 2 Expensify Newcomer

Currently there is no way within the UI to batch-download expense images across multiple reports.

In our case, we need a way to download these to attach to client invoices (many of our contracts stipulate that expenses must include original receipts). We really need an easy way to do this.

Previously we were recommended to create a CSV export which contains an individual link to each expense. We were then able to "batch download" all these links using 3rd party software as a workaround to this feature not being present in the UI.

More recently, the image links have been made inaccessible to a user that is not logged in (reasonable). The third party software we were using is no longer able to download the links in bulk.

Rather than waste time trying to find fresh band-aid for this issue, I thought it would be a better idea to seek to have this functionality included in the product.

It seems there is plenty of demand for this feature / no shortage of requests for it, yet there has been no commitment to deliver it or seemingly any understanding of why this feature is important.

Please reconsider.

Hi @ChrisPala we don't have any plans to create this function right now. The receipt visibility is actually a setting in your Policy, it's on the Expenses page.

You'll want to enable this and then generate the CSV.

The only one of those links which is an Idea with votes is actually a bit different - it's about downloading report PDFs in bulk. I'll leave this one open to gauge demand!

I am a consultant travel expense analyst for a company that follows Federal Travel Regulations (FTR). We have many consultants who use Expensify, and unfortunately, I have had to tell them all not to use it when working for us.

When submitting expenses for reimbursement as a consultant or subcontractor, you have to actually provide the receipts. Since Expensify offers no way for them to do that (essentially the receipts become the property of Expensify when you upload them), it is wholly inadequate for users who need to submit anything for reimbursement. The thumbnail view is useless for this purpose.

You are 100% incorrect. I just joined this forum an hour ago, and I have already found over 40 separate posts requesting exactly this functionality. I joined because I am a travel expense analyst who is desperately trying to help a consultant who contracted with my company to obtain his own receipts without downloading them all individually.

So far, I have had to summarily deny payment of his invoice with over $7,000 in travel costs because he cannot provide receipts. He sent me his Expensify report with tiny thumbnail images which are illegible and completely useless as evidence of travel.

I need to be able to read what class of airfare he purchsed, what date he checked in and checked out of his hotel, whether there was alcohol on his meal receipt, etc. Now he has to download each receipt one-by-one - he has over 200 receipts from a 3-week trip.

My company works with many subcontractors and consultants, and many of them use Expensify in their own small consulting businesses. Expensify is the only service I have had to pre-emptively warn people not to use when they work for us.

Oh, and making your receipts viewable to the public is not really something people like to do when they've been working on Classified and/or Sensitive projects.
